Questions to Ask a Venue Before You Book

The money

1. What exactly does the rental fee include?Tables, chairs, linens, parking attendants, security, cleanup — "included" varies enormously. Get the list in writing.
2. Are there required minimums?Some venues require minimum guest counts or food-and-beverage spending, especially on Saturdays in season.
3. What are the overtime charges?Parties run long. Know the per-hour (or per-half-hour) rate for staying past your contracted end time.
4. What's the payment and cancellation schedule?Deposit amount, when balances are due, and exactly what you lose if you cancel at 90, 60, or 30 days.

Food & drink

1. Can I bring my own caterer or private chef?This is the big one. Some venues require in-house catering; others allow outside vendors with a fee. Know before you fall in love with the space.
2. What's the alcohol policy?Can you bring your own, or must you use their bar service? Is there a corkage fee? Who holds the liquor liability?
3. Is there a working kitchen for vendors?A private chef or caterer needs prep space, power, and water. A "kitchen" that's really a closet changes what's possible.
4. Are there cake-cutting or vendor meal fees?Surcharges hide in the fine print — ask about cake cutting, vendor meals, and outside-dessert fees.

Timing & logistics

1. When can vendors access the space?Load-in and setup windows determine whether your florist has three relaxed hours or forty frantic minutes.
2. What's the hard end time — and teardown window?Some venues need you out by 10 p.m. sharp; others are flexible. Confirm when vendors must be fully cleared.
3. Is there a bridal suite or green room?Someone always needs a quiet place to regroup, fix, or hide before the entrance.
4. How does parking work?Capacity, lighting, distance from the entrance, valet options, and overflow plans for a full house.
5. What are the noise and music restrictions?Amplified music cutoffs, decibel limits, and neighborhood ordinances have ended more than one dance party early.

Weather & the outdoors

1. What's the rain backup plan — specifically?"We have a backup" isn't an answer. Which space, how does the flip work, and who decides?
2. When is the weather call made?Agree on the decision time in advance — 24 hours out? Morning of? — so nobody's guessing.
3. Who pays for the tent if we need one?If the backup requires a tent, know whose budget it hits and how fast one can be deployed.

Rules & fine print

1. What decor restrictions exist?Open flame, confetti, sparklers, hanging installations, and adhesive on walls are the usual suspects.
2. Do you require event insurance?Many venues require a liability policy naming them as additional insured — it's inexpensive, but arrange it early.
3. Can I use my own vendors freely?Some venues have "preferred vendor" lists that are suggestions; others are mandates with fees for going off-list.
4. Who is my day-of contact?Get a name and cell number — not "the events team." When the DJ can't find the load-in door, you need one human.
5. Can I do a final walkthrough the week of?Spaces look different with fresh eyes. A final visit with your planner or chef prevents day-of surprises.
